Edited

The Locate tab tracks underground utility locate scheduling for your projects. Use it to see which projects have underground locate stages, schedule and confirm locate dates, and mark each project complete once the locate is done.

Open it from Pre-Construction, then select the Locate tab.

Active and Archived projects

Two tabs sit above the list:

  • Active: projects you are still working on.

  • Archived: projects you have marked complete and set aside.

Reading the list

Each row is one project. The columns show:

  • Project ID: select it to open the project.

  • Address, City, Zip, and Division.

  • A column for each locate stage, showing that stage's scheduled install date.

  • 811: a link to the 811 call-before-you-dig site for the project's state, when one is available.

  • Ticket #: the 811 Dig confirmation number, which you enter by hand when you edit a project.

  • Scheduled Locate Date: the date the locate is planned.

  • Confirmed Locate Date: the date the locate has been confirmed. Shows an Expired badge when the ticket has aged out (see Re-locates).

Filtering the list

The bar at the top of the page lets you narrow the list:

  • Stage: show only projects for a single locate stage, or All Stages.

  • Superintendent: show only projects for a chosen superintendent.

  • Exclude by Builder: hide stages handled by the builder.

  • Search: choose Project ID, Address, City, Zip, or Ticket #, type a term, and pick contains / begins with / exact.

  • Active filters show a highlight and an X to reset that control. Clear All sits next to the filters and resets every Locate filter on the bar.

  • Under the filters, the list shows how many projects match the current filters.

Updating one project

Select the Actions menu at the end of a row, then choose Edit. A panel opens that lists each locate stage's scheduled install date for reference (these are read-only here, since install dates are edited on the schedule), and where you can:

  • Enter the Ticket #, the 811 Dig confirmation number.

  • Set the Scheduled Locate Date. The date cannot be in the past, and cannot be more than 30 days before the earliest listed install date, because a locate ticket is only valid for 30 days.

  • Set the Confirmed Locate Date.

  • Mark the project Completed / Archived.

  • Tick Re-locate to enter the second locate's scheduled and confirmed dates and mark it completed.

Select Save to apply your changes.

Re-locates

A locate ticket is valid for 30 days. When the install date (or today) is more than 30 days past the confirmed locate, the Confirmed Locate Date shows an Expired badge and the lot must be located again. Tick Re-locate to track the second locate; entering its confirmed date restarts the 30 days and clears the badge.

Updating several projects at once

To update many projects together:

  1. Use the checkboxes to select the rows you want, or the checkbox in the header to select every row on the page.

  2. In the toolbar, choose an action:

    • Set Scheduled Locate Date

    • Set Confirmed Locate Date

    • Mark Complete / Archive

    • Unmark Complete / Archive

  3. Enter a date if the action needs one, then select Apply. A scheduled locate date follows the same rule as the edit panel: it cannot be in the past or more than 30 days before the earliest install date on the selected projects, and Apply stays disabled until the date is valid.

Locate status on the project page

Each project also has a Locate Status card on its detail page with the same fields as the edit panel: Ticket #, locate dates, Completed, and Re-locate, plus a Day Count to the stage's install date. You can edit them directly from the card.

Showing a stage in Locate

A stage only appears in the Locate tab and on the Locate Status card when Enable Locate is turned on for that stage in settings. See Install Date Matching for where stage settings live.
